Log-books, Asset Registers and Document Management Systems

The Personal Log-Book Portal explained

The Personal Log-Book Portais a natural progression from the traditional paper based on-site log-books which can be lost, damaged, difficult to access or manage, particularly when you are not on site. It is an integrated part of all our business processes. It comes as standard with any maintenance package offered by Maintenance by Global.

Audit Trails and Viewing Records by Exception

Our managed “Log-Book Portal” will document exactly what assets you have by premises, system type and location. Up-to-date asset specific reports will inform you as to what condition they’re in and which ones need repairing urgently or replacing through the current condition Status option. All this information can be quickly and easily viewed from a PC with an internet connection.

Planned maintenance and the subsequent documentation that follows are essential for any organisation looking to ensure the safety and compliance of its premises. The “log-book portal” provides us with the framework by which this task is simplified. It enables individual assets to be serviced on time and to a particular specification, breakdowns minimised and mandatory documentation in relation to all engineering activities filed in a meticulously structured format.

Recognisable Industry Standard Report Formats

Documents where ever possible are updated by our engineers as soon as work is carried out, your documents are then accessible on-line for any number of your authorised staff to view. Most of our report formats are set out to industry standards and codes of practises recommended by;

  • Chartered Institution of Building Services Engineers (CIBSE)
  • Institute of Electrical Engineers (IEE)
  • Gas Safe and the Institute of Gas Engineers
  • British Standards Institute

Tee Cards and the Maintenance Plan

Good business processes have their roots in traditional paper-based systems. Tee cards and the accompanying wall panels used to display them, have long been used by planners to organise and display scheduled engineering tasks. The log-book portal deploys this simple ethos in an electronic format to ensure no scheduled task is ever missed. Your maintenance plan will display each job in month order with a drill down to individual asset details together with the engineering task to be carried out.

Risk Assessments and ISO 9001:2000 Quality Management Non-generic risk assessments in relation to the work activities detailed on the maintenance plan and any break downs that may arise are stored on the logbook portal. The assessment considers the likely hazards to your employers, customers and our engineers. All our business processes are subject to a continuous review by, Lloyd’s Register Quality Assurance (LRQA). LRQA originally certified our business process in 1998, today we continue to meet EN ISO 9001:2000 quality management standard.
